3. How to Prepare – Recommended Steps
- Internal Decision: Think about what you want to achieve: study or internship? In which field? What time frame?
- Selecting the Host University/Company: Check the list of available partners and destinations; review the university profiles, programs, and language of instruction. Gather as much information as possible from their websites.
- Preparing Your Application File: Complete the application form, write your motivation letter, update your CV, and, if needed, include language certificates and the academic transcript for the completed semesters.
- Selection and Approval Process: Ensure that you meet the UTCB and Erasmus deadlines. Announcements will be first posted on the UTCB Students Microsoft Teams Group – International Relations & EU-CONEXUS Channel, and then shared on the UTCB social media channels.
- Pre-departure Logistics: Obtain approvals in advance, keep email correspondence with the host university, apply for the grant, arrange accommodation, health insurance, and travel. Don’t forget to prepare the following two essential documents: European Health Insurance Card (EHIC) and International Student Identity Card (ISIC)
- Departure and Adaptation: Take time to adjust to the new environment, culture, and educational/work system.
- Mobility Execution: Follow the study/internship plan, stay in touch with UTCB, engage with life at the host university, and document your experiences.
- Return and Utilization: Confirm the recognition of credits/activities, prepare a report/feedback, and share your experience with the UTCB community.

- Check Your Budget: The Erasmus grant is a support, but additional costs (accommodation, transport, materials) may arise.
- Accommodation: Search for options in advance, and contact the host university for local recommendations.
- Health and Travel Insurance: Ensure you are covered for health needs, as well as for potential electronic devices (e.g., laptop).
- Minimal Luggage: Consider the season, adapt quickly to the new environment, and pack essential documents (diplomas, identification, money).
- Language Proficiency: If the courses or internship are in another language (e.g., English, German, French), ensure your proficiency level is appropriate.
- Networking: Before departure, connect with UTCB students who have already been on mobility programs – direct experience is invaluable.

Join all recurring information sessions about ERASMUS+ mobilities:
- ERASMUS DAYS – annually in October
- ERASMUS OPEN DOORS – annually in March/April
The selection of students for long-term mobilities is carried out centrally by UTCB, and the selection calls are generally held during the following periods:
- 10 February – 10 March of the current year, for mobilities taking place in the first and second semesters of the next academic year
- 15 September – 5 October of the current year, for mobilities in the second semester of the current academic year
